Hi everyone, my name is Cassidy, and I’m the Product Marketing Specialist at WaitWell. Today, I’m excited to introduce you to our new Payments use case—a solution that many of our customers love.

Why use WaitWell Payments? (0:07)

We designed this use case to tackle common service challenges, such as:

  • High rates of no-shows and cancellations
  • Delays in payment processing that disrupt workflows
  • Limited visibility into payment data

With WaitWell, you can effortlessly view payment and sales information at a glance and easily sort and export the data to suit your needs.

How it works for customers (0:23)

Let’s dive into how it all works. It starts just like usual, with a customer joining the line. In this case, they scan a QR code to get started.

Next, they fill out their information, including:

  • Name
  • Phone number
  • Number of people in their party

Then, they choose a service type. Here’s where it gets interesting: when the customer selects a service type, it’s automatically tied to a price. Once they hit “Continue,” they’re prompted to enter their credit card information. This step places a hold on their card, which remains until the merchant decides to capture the payment.

Staff perspective (1:01)

Now, let’s switch gears and look at the Payments Use Case from the staff’s perspective.

This is the main Queue Screen, the hub of activity your team will use throughout the day. When you scroll down, you’ll see everyone who’s waiting, both inside and outside the building, thanks to our two-stage wait feature.

For example, here’s a ticket I just added. To check its history, I click on Ticket Details and can immediately see that the customer paid with their credit card and the payment is ready to be captured.

At this point, your staff has several options:

  • Capture the payment
  • Cancel the sale if needed
  • Send a link to the customer via email so they can either pay again or view their receipt

One of the most common ways for staff to capture a payment is super simple. When the customer is assigned to them, they can capture the payment right from the top-left corner without diving into the ticket details. After capturing the payment, they can send the receipt directly to the customer’s email—or you can set it up so receipts are sent automatically.

Admin perspective (1:55)

From an admin perspective, the Payments Use Case offers real-time insights through a dashboard tailored specifically for payments.

Here, you can view key data points at a glance, such as:

  • Completed sales for the day
  • Payments ready to be captured
  • Quantity of items sold
  • Sales by hour

For more historical data, you can look back at your organization’s sales, sort and export them however you like, or review individual ticket details for past purchases.

Need to issue a refund? You can do that right from this screen.

It’s also easy to manage your products. You can add, edit, enable, or disable them on the fly with no hassle.

Speaking of flexibility, administrators can easily toggle settings on and off in the backend of payments. It’s straightforward, and while we guide and train you initially, you’ll have full control to manage it yourself.

This settings page is also where you connect your Stripe account, which is the payment processor WaitWell uses.
